Co-Located Event Guide

Thank you for co-locating your event at KubeCon + CloudNativeCon China 2018!

Your can view all published co-located events here by hovering over the Co-Located Events tab to see a list. If you event is not published, we have not received your finalized information. Please provide the following no later than Friday, October 5. Note that updates to current published events are made every Friday.

• Pre-event coordinator name and email address
• Onsite event coordinator name, email address and cell phone number
• Official event title
• Event description: This can include an agenda, speaker info, etc.
• Event time frame
• Cost to attendees

What’s Included
• Meeting Space Available 9:00 am – 4:00 pm
• Room Rental + Setup
• Conference WiFi
• Audio Visual: (1) projector, (1) screen, (1) Wireless Presenter, (2) Microphones, basic audio package, (1) whiteboard
• Meeting Room + Wayfinding Signage
• All Day Coffee and Water Package
• On-site registration and assistance
• Marketing + Promotion – event added to the co-located page on the website and registration form as an add-on option to the main conference registration and included in (1) shared marketing promotion
• CNCF will host registration and pass through all registration revenue other than credit card and registration processing fees.
• One (1) pass for KubeCon + CloudNativeCon China 2018

Included in your audio visual set-up is the following:

• One (1) Wireless presenter
• Basic audio package
• Two (2) microphones

If you have any other needs that are not listed above, please contact Kate Ping (Pacific World) and CC Megan Lehn immediately so that an order can be placed. Please note that anything additional ordered will be charged by the corresponding vendor.

Shipping

Our shipping broker for this event is DB Schenker (Schenker China). If you plan to ship items for your co-located event, please read the shipping guidelines and tariff linked below carefully. Documentation and payment are required prior to delivery. Each company is responsible for shipping and tracking their own exhibit materials to and from the conference.

Please note: We recommend using airfreight when possible. Courier companies are sometimes blocked by China customs, especially for items more than 30kg or valued more than RMB 1000.

Staff Check-in
Please check in at the registration desk on the first level main foyer of the Shanghai Convention & Exhibition Center of International Sourcing at least one hour prior to your event start to obtain your conference badge.

Attendee Update
Registrant details will be sent every two weeks starting September 20, 2018. If you have any questions please reach out to Megan Lehn.

Meeting Space
We appreciate your patience while we finalized room assignments before officially announcing your co-located event meeting room location. We will notify you of your finalized room location by September 21, 2018.

Event Registration + Check-in
All badges will be distributed at the registration desk located on the first floor. Please remember all co-located event attendees must also be registered for KubeCon + CloudNativeCon. Current registration hours are as follows, more times will be added soon:

Tuesday, November 13
08:00 – 18:00

Each attendee registered for a co-located event will receive a “Co-Located Event” ribbon, but it will not be specific to your event. To ensure that the correct attendees make it to your co-located event, we ask that you staff the door of your meeting room. If you have a paid co-located event and you have additional space, prospective attendees may register and pay for the event at the registration desk on the first floor of the Shanghai Convention & Exhibition Center of International Sourcing.

Food + Beverage
All food and beverage items should be coordinated directly with the Shanghai Convention & Exhibition Center of International Sourcing. Please contact Taylor Ma if you would like to add food and beverage items.

Branding
We have included basic KubeCon + CloudNativeCon branded wayfinding signage with your event name and location at the venue. You may also place signage inside the room for your event.

Post-Event Payment
If you are charging a fee for your event, The Linux Foundation will pass through registration revenue less the credit card and registration processing fees. Within 30 day post-event you will receive an email noting your revenue less fees with instructions to submit an invoice to The Linux Foundation for payment.
